1. Who we are
HOA Hot Sheet ("we", "us") operates hoahotsheet.com, a marketplace where verified homeowners associations publish distressed and at-risk property listings, and where buyers, investors and agents can register interest. This policy explains what we collect, why, and the choices you have.
2. Information we collect
- Account data — name, email address, password hash (or Google sign-in identifier), and the role you select at signup (HOA or buyer/investor).
- HOA and verification data — organization details and the proof-of-authority documents you upload so we can verify your right to list properties.
- Listing data — property address, delinquency amount, time in arrears, listing price, and HOA contact information supplied by the association.
- Buyer interest data — your name, email, phone, message, indicative offer amount, and whether you consented to sharing your contact details.
- Payment data — handled by Stripe. We never receive or store full card numbers; we store only the subscription or purchase record.
- Technical data — basic log and device information needed to operate and secure the service.
3. Buyer consent and unlocked contact details
When you register interest in a property, you choose whether to allow the verified HOA and the verified homeowner for that property to view your contact details. This is an explicit checkbox and it is optional.
- Public pages never display buyer identities. Visitors only see how many buyers registered and the range of indicative offers.
- A verified HOA or a homeowner with an approved ownership claim may purchase a one-time buyer unlock for a property. Unlocking reveals contact details only for buyers who checked the consent box.
- If you do not consent, your name, email, phone and message stay masked to everyone; only your indicative offer amount is counted and displayed in aggregate.
- You can change your consent choice or withdraw your interest at any time from the listing page. Withdrawing removes your interest record going forward; it cannot recall information already lawfully disclosed to a party that previously unlocked it.
4. How we use information
To operate the marketplace, verify HOAs, publish listings, process payments, connect consenting buyers with HOAs and homeowners, send transactional and support email, prevent fraud and abuse, and comply with legal obligations. We do not sell your personal information.
5. Who we share information with
Service providers who process data on our behalf: Supabase (database, authentication, storage), Stripe (payments), Resend (email delivery), and Google Maps Platform (map display and geocoding). We may also disclose information where required by law or to protect our rights and users.
6. Delinquency information
Delinquency amounts, arrears duration and property status are supplied by the listing association, which represents that it is authorized to disclose them. We do not independently verify each figure and we are not a consumer reporting agency; listings must not be used for any purpose governed by the Fair Credit Reporting Act. If you believe information about your property is inaccurate, contact us at support@hoahotsheet.com and we will route your request to the listing association.
7. Retention and security
We keep account, listing and transaction records for as long as your account is active and as needed for legal, accounting and dispute-resolution purposes. Data is encrypted in transit, access is restricted by row-level security rules, and verification documents are stored in private storage.
8. Your choices and rights
You may access, correct, export or delete your account information, opt out of contact sharing, and unsubscribe from non-transactional email. Depending on where you live, you may have additional rights under laws such as the GDPR or the CCPA/CPRA, including the right to object to processing and to appeal a refused request. Email privacy@hoahotsheet.com and we will respond within the time frame the applicable law allows.
9. Cookies
We use strictly necessary cookies and local storage to keep you signed in and remember your role preference. We do not use advertising cookies.
10. Children
The service is not directed to anyone under 18 and we do not knowingly collect their data.
